    Characteristic Duties and Responsibilities

    Reporting to the Executive Director of Financial Aid, the Supervisor, Financial Aid Processing provides guidance and oversight of all financial aid processing functions. The incumbent will support student success by proactively addressing the financial aid needs of a diverse student body by facilitating the efficient and effective administration of financial aid for students. This position is a member of the Financial Aid Leadership Team.


    The Supervisor, Financial Aid Processing will be responsible for managing and overseeing operations, aid processing, operational policies and procedures, and data reporting. Use of judgment, analysis and operational decision-making and procedure development. Ensures completion of goals while ensuring compliance of federal and state financial aid and institutional rules and regulations. Coordinates with processing staff to ensure understanding of their roles and responsibilities. Incumbent may serve as back-up for Financial Aid Specialists based on operational needs

    • Processing Management and Goals: Collaborates with the Executive Director to establish and implement short- and long-term processing goals by recommending updates or new initiatives regarding best practices and effective fund usage in financial aid. 
    • Financial Aid Monitoring and Reporting: Reviews and manages all weekly financial aid reporting and review with staff to provide the best customer service and processing experience for our students. Hold monthly meetings to review any unpaid or unprocessed student aid.  Ensures monthly reconciliation is completed for all federal, state, and institutional financial aid funds. Partners with Student Accounts to confirm Colleague, COD, and G6 match monthly. Develops and maintains an annual calendar of processing activities to ensure all functions are accomplished within established time frames and in coordination with other offices.
    • Policy Development and Maintenance: Partners in the development and maintains processing policies, administrative procedures, and standard operating procedures.
    • Compliance Management and Auditing: In coordination with the Financial Aid Compliance Officer, completes quality reviews of financial aid files for compliance and accuracy. Use findings to coach direct reports on areas of opportunity. 
    • Technology Planning and Implementation Management: Develops, organizes, plans, supports, implements and manages technology that supports the financial aid processing procedures. Plays a key role in annual Colleague setup, works through system issues by partnering with MATC IT partner, and related tasks to ensure efficiency of financial aid systems.
    • Committee Participation and System Engagement: Participates in cross-functional committees and organizes, reviews, and debriefs meetings among stakeholders.  Chairs or serves on appropriate college committees as directed by the Executive Director.   
    • Ethics and Confidentiality: Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.
    • Cross Functional Relationships and Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with staff, faculty, and administrators especially with the Financial Aid Department and other departments (Student Accounts, Recruitment, Admissions, Academic Advising, etc.).
    • Leadership and Supervision:  Develops and manages high performing team highly skilled and motivated staff focused on the delivery of quality and value-added services and allocates cross-functional responsibilities and work processes.  Responsibilities include coaching/mentoring, performance management, and progressive discipline as needed.
    • Continuous Learning & Professional Development:  Maintains current knowledge of best practices and standards in financial aid policies and procedures.  Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.  
    • Other duties:  Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives. 
    Supervisory Responsibilities
    • Delegation of Work: Regularly assigns work to subordinate(s).
    • Supervision Given: Supervises managerial, supervisory, and professional personnel. Provides recommendations on hiring new employees; on coaching and counseling; on training; and granting time off.

    Qualifications

    Qualifications:

    Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures.


    Required Education & Experience: 

    • Associate’s degree and three (3) years of related experience including experience in higher education, or related field. 

    • Two (2) years direct experience providing administrative supervision of employees or Emerging Leaders Supervisory Credential (eligibility).

    Preferred Education & Experience: 
    • Bachelor’s degree and five years (5) years of related experience including experience in higher education, or related field. 
    • Three Years (3) direct experience providing administrative supervision of employees.

    Knowledge, Skills & Abilities:
    • Knowledge of financial aid practices and procedures.
    • Knowledge of general entry admissions, enrollment, and registration procedures; student support services; offices, and the MATC Student Handbook.
    • Ability to engage in active listening, powerful questioning, and effective conversations to facilitate learning and goal achievement.
    • Ability to train a wide variety of stakeholders on software and concepts with varying degrees of complexity. 
    • Ability to think critically and employ creative problem-solving solutions to complex problems.
    • Ability to create, structure, and deliver public presentations to a variety of groups.
    • Ability to communicate effectively, persuasively and analytically both through written and oral means across all levels of employees, management and with students.
    • Ability to establish, collaborate and maintain effective work relationships with peers, students, teachers, staff, representatives of outside agencies, educational institutions, and the general public.
    • Ability to convey an image of professionalism and dedication in work related activities.
    • Ability to work with culturally diverse student and employee populations.
    • Proficiency in the use of computers and software specific to position, including spreadsheets and the Internet.
    • Ability to work successfully with minimal supervision and serve in a leadership role to others.
    • Ability to effectively organize work by establishing workflows, managing multiple projects, and meeting necessary deadlines.

    Physical Demands
    • Ability to lift up to 25 lbs., carry, and push up to 20 lbs. and ability to pull up to 50 lbs.
    • Ability to climb stairs and a ladder and maintain balance.
    • Ability to stoop, kneel, crouch, reach, hear and speak.
    • Sitting/Standing/Walking: 50% of time spent sitting, 25% of time standing, and 25% of time walking.

    Supplemental Information


    Start Date:
    This position supports the Financial Aid department of IT and is available immediately.

    Hours/Location: 

    • This is a full-time, 40 hour per week, 1.0 FTE position.
    • Hours are Monday - Friday, 8:00 a.m. - 5:00 p.m.
    • Based out of the Milwaukee Downtown campus, 700 W State St, Milwaukee, WI 53233 
    • Eligible for Flexible Work Arrangement 
    Salary: 
    This is an exempt position and the pay range is $59,116 - $79,817 annually. Salary is listed to the midpoint of the salary range and is based on the 2023/2024 rates and are determined by years of experience credit and internal salary equity.
